How to Accept Invitations

Overview

Welcome to Juno! As an Invited Member, you have been brought into the workspace to collaborate on specific hiring initiatives. This guide covers everything you need to access your account, understand your permissions, and contribute effectively to the recruitment process.


πŸ“§ Accepting Your Invitation

Receiving Your Invite

  • Check your email for a message from Juno (noreply@clive.io or notifications@usejuno.io)

  • Subject line: "You've been invited to join [Company Name] on Juno"

  • Expiration: Invitations expire after 7 days for security reasons

Setup Process

  1. Click "Accept Invitation" in the email

  2. Create your account:

    • Use the email address the invite was sent to (cannot be changed)

    • Set a secure password (minimum 8 characters)

    • Enable Two-Factor Authentication (recommended for external users)

  3. Complete your profile:

    • Upload a professional photo (helps team members recognize you)

    • Add your title/role (e.g., "Senior Technical Recruiter" or "Advisor")

    • Connect your calendar (Google or Microsoft) to enable scheduling

  4. Review NDA/Compliance: Some organizations require digital agreement to confidentiality terms before accessing candidate data

Troubleshooting

  • Link expired? Contact the Admin who invited you to resend the invitation

  • Wrong email? Ask the team to invite your correct address; you cannot transfer invites between emails

  • Didn't receive? Check spam/junk folders for "Juno" or "Clive"

Navigating the Platform

As an Invited Member, your sidebar navigation is streamlined to show only the sections relevant to your collaborative role. Here's what you'll find in each area based on your permissions:

Recruitments

This is your primary workspace where all hiring activities happen:

🎀 Interviews

  • What you see: Only interviews where you are assigned as an interviewer or reviewer

  • What you can do:

    • View candidate profiles, resumes, and AI-generated prep questions

    • Accept or decline proposed interview times (cannot propose alternative slotsβ€”contact the Admin for rescheduling)

    • Access video conferencing links and candidate portfolios

    • Submit feedback using structured scorecards after interviews

    • View feedback from other interviewers on shared candidates (if the company allows visibility)

  • Limitations: You cannot create new interviews, cancel existing ones, or modify the interview panel

  • What you see: Job postings explicitly shared with you by the Admin (usually 1-3 specific roles)

  • What you can do:

    • Review full job descriptions, requirements, salary bands, and hiring criteria

    • See the pipeline stage for candidates assigned to you within those jobs

    • Add internal notes about job requirements or candidate fit

  • Limitations: You cannot create, edit, or archive job postings; you cannot view all company openings

  • What you see: Your personal availability calendar

  • What you can do:

    • Set your recurring weekly availability (e.g., "Tuesdays 2-4 PM")

    • Block specific dates when you're unavailable

    • Sync with your external Google/Microsoft calendar to avoid conflicts

  • Limitations: You cannot view or modify other team members' schedules; you cannot set company-wide interview hours

  • What you see: Read-only view of email templates used for candidate communications

  • What you can do:

    • Preview templates that will be sent to candidates you interview (interview confirmations, reminders, etc.)

    • Copy template text for reference when drafting personal messages to candidates

  • Limitations: View-only accessβ€”you cannot edit, create, or delete templates; you cannot send emails on behalf of the organization


Team

βž• Add Team Members

  • What you see: This menu item is visible but disabled (grayed out) for Invited Members, or may be completely hidden depending on your organization's settings

  • Access Level: You cannot invite new users, add employees, or modify existing member permissions

  • What to do instead: If you need to refer someone to the hiring team, forward their resume to the Admin who invited you, or use the Feedback form to request an invitation for specific individuals

  • What you can do:

    • Submit bug reports, feature requests, or general suggestions about your Juno experience

    • Report candidate data issues (e.g., duplicate profiles, incorrect resume parsing)

    • Request additional access or permissions (routes to your Admin)

  • Visibility: Feedback submissions go to both Juno support and your organization's Admin team

  • What you can do:

    • Read articles about effective interviewing techniques, DEI hiring practices, and recruitment strategies

    • Share blog posts with your network (external sharing enabled)

    • Comment on articles (if commenting is enabled for your organization)
